Call to Order
The meeting was called to order by President, Kara Emery.

- Z-Suite will now allow project leaders to access member waivers

- Horse committee is working on planning the County Horse Show

- Binder in the office for the requirements for each of the committees
- Fundraising – The fundraising committee brought Midway and a 5 or 10 gun raffle ideas to the committee. We discussed trying North 40 this year but found out that they do not offer gift cards in exchange for the guns where Scheels does. We also talked about having Doug pick the guns this year if we decide to go with Scheels instead of the committee. We are looking at doing the fundraiser to purchase a smaller shotgun, use for travel expenses, or put towards renting a building.
Jody moved to do a 10 gun raffle through Scheels for up to 1000 tickets for $20 a piece in February and draw the first part of March. Tristen 2nd the motion. Motion passed.

- A ratio of one instructor per 8 members to assist with regular discipline instruction

- Advanced classes will be offered if sufficient enrollment warrants the need and numbers
- Instructor Commitment
- Instructors and Jr. Instructors must commit to three (3) years of instruction service
- The requirements are in place because the committee covers 75% of the financial fees

- Samaria read an email from John Gagnon about the pistols that were awarded in the
NRA Grant
- I just got an email from the NRA grant committee about the 2300s pistols I put on the grant and they were informed that Crossman is no longer making them. So, they give me a couple of options. 1 They will send us a check and we can buy whatever air pistol to replace them. 2 To cancel the request for the air pistols and the moneys will be put back into the Friends of the NRA account.
- I say get the money and see about buying higher grade air pistols to start upgrading our air pistols.

- Samaria reported that all items except for rifles and pistols had arrived.
- Targets had been purchased and needed the committee to decide what we were going to spend on the lights since the total for the lights didn’t match what we were given in the grant.
- Jody moved to buy only what we are able to purchase 8 LED lights. Table for the other 12 for later. Mitsuru 2nd the motion. Vote passed.

New Business
- 4-H Camp
- Kara, Jody, and Samaria will be going to camp on June 9th to instruct archery
- Everything is good to go—trailer will be taken up on Sunday of camp by Molnar family
- Bookkeeper
- Samaria talked to Lisa before the meeting and was informed that her job is take the receipts & money after they are scanned by the office to put into quick books so a deposit can be ready for the bank. This process can take awhile if the office is busy and can’t get them scanned into the computer first. There was a question on why checks from the 10 gun raffle sat so long at the office before they went to the bank. This was due to the process that is in place now. Scan/Input/Deposit (This can take lots of time if office or bookkeeper are busy)
- The bookkeeper contract is held by the Foundation but each committee pays the bookkeeper for the services that they do. This is paid to them 4 times a year.
- We were let know that there is not suppose to be more than $500 sitting in the office at any time. (This total goes for all 3 branches of extension total)
- As a committee we can make a spreadsheet for the bookkeeper to put into Quickbooks and then take deposits to the bank without the bookkeeper running that report
- Committee can be writing their own checks and documenting them on the spreadsheet for the bookkeeper to input
- We need to make sure that we are incompliance with the 501
- We need to make sure that we are communicating with each other

- She went to the 4-H Institute in Missoula and found out that we need to have contracts for all of our 4-H events approved by MSU legal. All event venues need to have contracts in 2 weeks before the event starts for them to approve them.
- Saturday, March 8, 2025 is Project Day- they will be doing the county wide service project. There are about 78 kids signed up to help with it. There will also be a communications practice.
- Communications Day will be April 12 after Project Day
- Good Luck to all Shooting Sports members going to Bozeman.
- Fair Planning in on going
- Camp Planning is under way. They will meet to pick workshops on Tuesday. Theme this year is Hawaiian and camp is June 8-11.
- Ignite Workshop is next week and Jenn will be out of the office for it.
- Scholarships are open and information is on the website

- Fundraising – Jody reported that we should look at doing another fundraiser to help
with the purchase of 3-D targets, instructor training, and member travel

- After much discussion, we decide that the best ones to do would be the following and

- We discussed starting selling tickets on March 17 with the drawing the week of May 5-9 with 2 drawings per day. We also discussed keeping the same guns that we had before. Samaria will get in touch with Scheels and let us know if we need to make any adjustments to the list. We discussed either selling 500 or 1000 tickets for $20 per ticket.
- Jody moved that we have a 10 gun raffle with the same guns as we sold before, and start selling the tickets on March 17 with drawings the week of May 5-9 and hold 2 drawings per day. We would have a 1000 ticket limit with tickets being $20. Mitsuru 2nd the motion. Motion passed by vote.
- We then discussed having a gift card or other prize for the top 3 sellers.

- Samaria got approval from RMEF and will start to fill out the grant form.

- No one at the meeting was going to be free to be there most of the time due to work commitments.

- Foundation Reimbursements
- Samaria informed the committee what she had found out about the reimbursements that
come from Foundation.
- Instructor Trainings $600 in their budget—this year we have already used $1500
- State Tournament travel- $1200 to be split between all the kids that go to state. (this only covers about ½ of the families costs for the event)
- Building Reimbursement Fee- $1000 this year instead of $240
- We need to make sure that we report back to Foundation on how we are using the money that we get from them to help our program. Jenn also mentioned this—letters, thank yous, presentations, etc. Next Foundation meeting is in April.
- She also suggested that we look at ways that we can help as a committee so that we aren’t just relying on Foundation for these costs.

The meeting was called to order by Vice-President, Jody Cope.

- Jenn let us know that we got the contract from the Expo Park for the tournament and the COI is also done. Project Day will be on February 8th and 87 kids are signed up. The 1st JD meeting for camp is on February 11th. There will be a communications planning meeting next week. The office will be closed on February 17th. Foundation meeting will be on February 18th and Livestock Meeting on February 21st. Kesslers gave another donation to Leaders Council and it was used to by the new speaker system and walkie talkie system. State Fair will be July 25-August 2. 4-H camp will be June 7-11. Rec Lab is at the end of March.
- She also let us know that her job is part 4-H and part Extension. She is on the curriculum committee and that she has region meetings that she has to also attend. Along with meetings for 4-H, the Indigeous committee, fair planning, cyber training, commissioner meetings. She also let us know that KMON Radio has opening for 4-H events to be broadcasted on their station.

- John G. wasn’t at the meeting but sent an update.

- Jody will order the T-shirts. She has created the Logo and just needs numbers by February 14th. We will look at all entries signed up to determine sizes. She also said that Instructor shirts—they just need to let her know size.
- Mitsuru was asked to make a sign to advertise the t-shirt sales.
- Samaria reported that we are still looking for a rifle instructor to be present at the MRSA range to hold airgun over there. She will decide by Monday where airgun is going to be held after she talks to a few more instructors.
- Samaria reported that Jeremy would be there to help at the tournament also. That vests and walkie talkies are in for the tournament.
New Business
- Appointment of President
- The executive board appoint Kara Emery to the position of President.
- Kara agreed to the appointment.
- Bank Account Motion
- Samaria made a motion to add Kara Emery to the bank account and to remove Joe Leggett from the account. Mitsuru 2nd the motion. Voted and passed.
- RMEF Grant
- Samaria mentioned putting in for the RMEF grant if there were items that we could
use.
- Arrows/ Arm Guards/ Targets were suggested items for the grant
- Record Book Check Date
- July 16th was the date picked for Shooting Sports records to be dropped at the office for review.
